Administrative Assistant (part-time)

The Administrative Assistant will support United Way staff in several capacities requiring general office knowledge. He/She will assist visitors, in person or on the telephone, answering or referring inquiries.

Key Responsibilities
----------------------------------------

  • Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Direct visitors by maintaining employee and department directories; giving instructions.
  • Maintain security by following procedures.  Including locking up the office and keeping track of who is in the office.
  • Maintain telecommunication system.
  • Maintain safe, organized and clean reception area.
  • Contribute to team effort by accomplishing tasks as needed.
  • Assist all departments (Finance, Resource Development, Welcome Baby, 211, Promise Neighborhood, Family Youth Specialists) with various office work, such as; typing, filing, copying, organizing, data entry, etc.
  • Assist with monthly board meetings; prepare notebooks, set-up boardroom
  • Receive and send mail.
  • Manage office calendar and scheduling for the board room.
  • General bookkeeping tasks as assigned by supervisor.

Position Requirements:

  • Strong written and oral communication skills, excellent interpersonal and problem-solving skills
  • Detail and results oriented with the ability to plan, manage and follow through on multiple projects
  • Patient and adaptable to constantly changing environment
  • Able to relate to people from diverse backgrounds
  • Self-starter, ability to work independently
  • Knowledge of Microsoft Office (Word, Excel, and PowerPoint)
  • High standards of professional ethics and conduct

Preferred Qualifications
----------------------------------------

  • High school diploma
  • Experience with excel
  • Experience working with database programs and entering/manipulating information
  • Passion for precision and detail
  • Understanding of United Way mission
  • Familiarity with Ogden community and resources
  • Spanish speaking a plus

Wage: $11-$12.50 per hour
Location: Ogden, Utah
Hours: Part-time (Monday-Thursday 1:00-5:00pm, Friday 8:00am - 5:00pm, hours may be negotiable)
