Events Manager

Title: Events Manager 

Reports to: Director of Public Relations and Marketing 

United Way of Northern Utah Mission: Uniting people and organizations to build healthy and well-educated communities where individuals, families, and neighborhoods thrive.

Goal: The Events Manager is responsible for planning, executing, and evaluating high-impact events that advance United Way of Northern Utah's mission, strengthen community relationships, and support fundraising, volunteer engagement, and community awareness efforts.

This role leads the coordination of UWNU's signature events, including fundraising events, volunteer initiatives, recognition programs, and program-related events. The position manages a diverse portfolio of approximately 12-24 events annually of varying sizes and complexity. The Events Manager is responsible for all phases of event planning—from concept development and budgeting to onsite execution and post-event evaluation—while ensuring exceptional experiences for donors, volunteers, sponsors, community partners, and attendees.

As a member of the Marketing team, the Events Manager plays a key role in creating meaningful opportunities for people and organizations to connect with United Way's mission. The ideal candidate is highly organized, creative, relationship-oriented, and energized by bringing people together around a common cause. They excel at managing multiple priorities, building strong partnerships, and creating memorable experiences that inspire action and support lasting community impact.

Compensation

Wage: $48,000-$60,000 annually

Benefits: A comprehensive benefits plan includes vacation, sick leave, holidays, health, dental, vision, disability, and life insurance, as well as a 403(b) match of up to 10% of your salary after 1 year of employment.

Location: Ogden, UT; Travel throughout the service area (Box Elder, Cache, Morgan, Rich, and Weber counties) will be required. 

Hours: Full-Time, Exempt (40 hours per week). Working hours in this position can vary greatly week to week depending on community events and other commitments in the role. Generally, UWNU hours of operation are Monday-Friday 8:00am-5:00pm MST, but the nature of this position requires flexibility in scheduling to accommodate working some nights and weekends.

 

Key Responsibilities:

Event Planning, Execution and Management: 

Lead the planning, coordination, and evaluation of United Way of Northern Utah's signature events, including but not limited to:

  • Friends of United Way Golf Tournament
  • Annual Stakeholder Meeting
  • BRAVO Awards
  • STEM Action Day
  • Volunteer Appreciation Events
  • Donor Recognition Events
  • Program Events and Community Engagement Activities

Responsibilities include:

  • Develop and execute comprehensive event plans, timelines, budgets, and project schedules.
  • Coordinate all event logistics, including venues, catering, rentals, entertainment, audiovisual needs, signage, transportation, permits, and day-of-event operations.
  • Manage registration systems, attendee communications, and event documentation.
  • Collaborate with the Volunteer Engagement Director in training and scheduling event volunteers.
  • Serve as the primary point of contact for vendors, contractors, venues, and event stakeholders.
  • Ensure a high-quality attendee experience through thoughtful planning and professional execution.
  • Conduct post-event evaluations, reporting, and recommendations for continuous improvement.
  • Maintain event planning templates, procedures, and systems that improve organizational efficiency and consistency.

Fundraising Event Support: 

  • Collaborate with Resource Development staff to support fundraising and sponsorship goals associated with events.
  • Coordinate sponsorship fulfillment and recognition activities to ensure all sponsor benefits are delivered accurately and on time.
  • Support donor stewardship and recognition efforts within event experiences.
  • Assist with sponsor engagement opportunities and event-related presentations as needed.
  • Track and report event performance metrics, including attendance, sponsorship participation, volunteer engagement, and monitoring of ROI in collaboration with the Development team.

Volunteer, Outreach and Community Engagement: 

  • Collaborate on logistics for volunteer projects and community engagement initiatives with the Volunteer Engagement Director. 
  • Ensure volunteers and attendees have a meaningful and positive experience engaging with United Way.
  • Lead and support community outreach initiatives that increase awareness of the organization's mission, programs, and impact.
  • Partner with staff and volunteer committees to coordinate participation in community events and engagement opportunities.
  • Identify, cultivate, and follow up on relationships generated through outreach activities.
  • Ensure effective planning, staffing, logistics, and execution of outreach and tabling events.
  • Maintain outreach systems, materials, and resources to support a consistent and professional community presence.
  • Monitor outreach activities and communicate opportunities, outcomes, and recommendations to Director of Marketing and Public Relations. 

Event Marketing and Communications: 

  • Work closely with the Marketing team to develop promotional and communication strategies for events.
  • Coordinate with the Marketing Coordinator for event content for social media, email campaigns, websites, printed materials, and other communication channels.
  • Ensure consistency with United Way of Northern Utah branding and messaging.
  • Support storytelling efforts that highlight community impact, volunteerism, and donor engagement.

Budget and Project Management: 

  • Manage and reconcile event budgets.
  • Monitor expenses and identify opportunities for cost savings and increased event revenue.
  • In collaboration with Resource Development, secure and steward in-kind donations for event venues, supplies, services, and materials.
  • Manage vendor contracts, invoices, and event-related financial documentation.
  • Maintain detailed project plans and timelines to ensure deadlines and goals are met.

Other Duties: 

  • Support organizational events, community initiatives, and special projects as assigned.

Required Qualifications:

  • Bachelor’s Degree in Hospitality, Business, Marketing, Communications or equivalent professional experience.
  • Three or more years of professional event planning, event management, project management, hospitality, fundraising events, or related experience. 
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, PowerPoint, Teams, and Word. Experience with CRM systems, event registration platforms, volunteer management systems, or donor databases preferred.
  • Ability to lift and move event materials weighing up to 30 pounds. Ability to stand, walk, and work outdoors for extended periods during event execution. 
  • Must possess a valid driver's license, current auto insurance, and reliable transportation.
  • Willingness to work occasional evenings and weekends as required by events in a variety of locations throughout Northern Utah.

Preferred Qualifications:

  • Five or more years of event planning, event management, hospitality, nonprofit events, or community engagement experience.
  • Experience leading fundraising events, volunteer initiatives, or large-scale community events.
  • Familiarity with venues, event vendors, businesses, and community organizations throughout Northern Utah.
  • Experience working with nonprofit organizations and volunteer-driven programs.
